Description: General Provide general office support services, including maintaining the calendars for the Associate Vice Presidents for Academic Administration and the Graduate and Professional Studies Office. Process mail and email communication each day; coordinate and follow up as necessary. Work with Academic Administration staff in organizing graduation services. Academic Administration Provide courteous and helpful customer service when answering Academic Administration office phone numbers and when assisting walk-in visitors. Assist in planning and scheduling meeting for nomination and voting of Senior Class officers. Pre-professional Committee – gather student information, keep committee minutes, and send recommendation letters to medical and dental schools. Dual Enrollment – Work with academies and Online Campus in managing extension classes. Academic Review process – take minutes and prepare correspondence with students pertaining to their status at Southern Adventist University. Student Support – Assist in meeting students; guide them through the course overload request process, permission for off-campus classes, and approval for examination time changes. Absence notifications – manage emails notifying professors of student absences from classes for field trips and illnesses. Accreditation - Assist in producing documents for AAA and SACSCOC reporting. Top Achiever Student Awards – Communicate with departments or schools to identify student candidates for the award, assists with coordinating awards convocation. Maintain a record of international tours and trips and notify NAD regarding insurance, itinerary, and participants. Maintain and regularly publish the university’s official committee membership list. Perform other duties as assigned. Graduate and Professional Studies Office Provide courteous and helpful customer service when answering the main Graduate and Professional Studies office phone number. Support prospective students in the graduate and adult degree completion Slate application processes. Assist the Director of Graduate Admissions and Academic Progress in answering inquiries from and processing of applications for conference-sponsored teachers using Slate and Ellucian Colleague software systems. Manage the Graduate Assistant Request form process. Gather calendar information for the yearly planner. Coordinate Graduate Council email communication and calendar invites. Assist the Director of Graduate Admissions and Academic Progress in data entry for Slate and Ellucian Colleague software systems.

Experience: A bachelor’s degree in Office Administration or a related field is highly desirable. The administrative assistant for this department must be detail-oriented, have outstanding interpersonal, time management, and organizational skills, and be a problem solver and facilitator. The ability to deal appropriately and confidentially with personnel- or student-related information is mandatory. In addition, the ability to deescalate challenging situations courteously when dealing with students, parents, and guardians is critical. The administrative assistant is expected to supervise student workers and delegate tasks appropriately and effectively. Microsoft Word, Excel, Outlook, and Internet proficiency are essential. Exceptional telephone etiquette and diction are expected of the administrative assistant. Skills in the use of excellent English grammar, composition, and proofreading are required.
