Description: Donor Relations Managing all areas related to gift and pledge processing and donor recognition. Recording and receipting gifts within 48 hours including special memorial or tribute gifts. Processing monthly employee payroll gifts and preparing annual receipt. Processing monthly and preparing annual receipt. Processing monthly credit card gifts to fulfill multi-installment phonathon pledges made via credit card. Contacting donors to clarify gift intent, correct credit card issues, and other gift questions. Generating gift acknowledgment letters, thank you cards and departmental notice of restricted gifts. RE-Mailing data for batch totals and mission trip reports. Changing to new gift acknowledgment letters as needed. Generating first-time donor thank you cards and Donorversary cards. Overseeing the proper use of donor gifts, implementing appropriate donor recognition strategies and planning meaningful contact with donors and volunteers including, but not limited to Issuing donor appreciation gifts for identified levels of donors giving to annual fund, special projects, capital or planned gift campaigns. Determining and distributing fiscal and calendar year-end donor recognition utilizing a segmented approach to strategically steward donors about the impact of their gifts. Ordering and maintaining an inventory of giveaway items to fulfill an array of needs—prospect visits, donor thank yous, event giveaways, etc. Preparing envelopes for Thanksgiving Cards from Advancement. Handling aspects of budget expenditures and expense processing Requesting expense transfers and corrections to office budget. Tracking specific budget line items. Processing invoices, expense reports, checks and cash requisitions for office staff. Coordinating activities and projects on behalf of the board’s Advancement Committee Producing college affinity cards for new trustees and disabling cards of former trustees. Managing select duties with office-wide impact Ordering print supplies for office mailings. Supervising student workers Processing new & leaving student employee forms Processing and submitting payroll information and approving timecards for direct reports Training new student workers in their duties. Assisting student employees with general office questions Serving as supervisory back-up to staff when out of office Overseeing student workers who perform general office duties and front-line customer service Maintaining the VIP birthday list and preparing monthly birthday card mailing Preparing the monthly gift income report Coordinating the compilation of the annual Internal Advancement Report Organizing office social functions and student appreciation week celebration and gift Filing of gift information, correspondence, financial forms, Filing all departmental invoices, purchase orders and requisitions. Coordinating the greeting of office guests the answering of telephones so it occurs in an efficient and timely manner Maintaining office supplies Processing the stamped BRE envelopes bi-annually for refund from the USPS Preparing new employee packets as needed to sustain inventory Creating and distributing office social event invites Assembling and distributing student worker birthday gifts Managing storage areas Annual Giving Helping to enhance the understanding and support for the Southwestern Fund by all who care about Southwestern Adventist University. Coordinating spring thankathon strategies. Processing pledge reminders for phone program and writing text for pledge reminder cover letters. Orchestrating Christmas and Spring Mailings with marketing. Creating a multi-channel mini-campaign with mail, email and social media to launch early in the calendar year for some special need Orchestrating the electronic communication and social media campaigns for Giving Tuesday as the kick off to the holiday appeal and other digital solicitation. Managing a sustainer giving program focused on systematic monthly giving including mail, phone, events and new technologies that may appeal stakeholders. Managing the web presence as related to annual giving. Planning and implementing additional strategies as needed to reach stated goals for the Union College Fund and Student Scholarship Fund or to pursue opportunities for special gift campaigns Analyzing annual giving data on phonathon performance, donor retention rates, direct mail performance and adjusting strategies as necessary Other duties as assigned by the Vice President for Advancement.

Experience: Experience in managing a diverse donor base. Annual fund experience. Computer proficiency in database management and Microsoft Office Suite (e.g. Word, Excel, PowerPoint) are required. Past experience with Raiser’s Edge or other donor management software will be beneficial
