The Executive Assistant plays a crucial role in providing comprehensive administrative support for the Vice President for University Relations and Advancement and senior staff within the department, demonstrating unwavering commitment to confidentiality and delivering exemplary customer service. Responsibilities encompass managing executive communications, responding to calls and emails, coordinating calendars, and organizing intricate travel itineraries. In a leadership capacity, the Executive Assistant serves as the lead organizer and voting member of the Décor Committee, ensuring a visually appealing environment, and maintains meticulous filing systems for historical reference and ongoing projects. Engaging in both on-campus and off-campus errands showcases adaptability and efficiency. Additionally, the Executive Assistant actively supports the enrollment office's recruiting events, overseeing logistics, communicating with stakeholders, and serving as a managing editor. The role extends to supervising the university's main telephone line and official front desk, managing schedules, recruiting and training student employees, and ensuring proper functionality of the main phone line. Budget coordination, expense handling, invoice processing, and creating check requests for department events are seamlessly managed. From creating agendas to coordinating maintenance and repairs, the Executive Assistant demonstrates organizational prowess, providing general departmental orientation training for new student employees and ensuring compliance with university policies. Overall, this multifaceted position underscores the Executive Assistant's integral role in the efficient functioning of the university relations and advancement department.
Required Experience
The qualifications for the Executive Assistant include an Associate’s degree in Communications, Business Administration, or a related field, or equivalent experience. A Bachelor’s degree in the same fields is preferred but not mandatory. No specific licenses or certifications are required. The candidate should have 1-3 years of experience, with a preference for 3-5 years. Proficiency in Microsoft Office (Outlook, Word, Excel, and Access) is essential. The ability to work independently without direct supervision, take initiative, and manage tasks with attention to detail in a busy environment with frequent interruptions is required. Strong organizational, managerial, supervisory, and interpersonal skills are important aspects of the role. Confidentiality and discretion are emphasized as essential qualities for the prospective candidate. The compensation for this position ranges from $46,186.63 to $52,484.81 per hour, with rounding up and down at each end.
