Takoma Academy seeks a highly organized, service-oriented, and mission-aligned Registrar to oversee student records, enrollment documentation, scheduling support, academic data management, and registrar operations with excellence, confidentiality, and care.

The Registrar plays a vital role in supporting students, families, faculty, and administration by ensuring the accuracy, integrity, and efficiency of all student records and registration processes. The ideal candidate is detail-oriented, technologically proficient, warm in customer service, and committed to Christian education.

Key Responsibilities

Student Records & Compliance

  • Maintain accurate and secure cumulative student records, transcripts, grades, attendance, immunization, and enrollment documentation.
  • Ensure compliance with school policies, accreditation standards, legal requirements, and records retention procedures.
  • Process incoming and outgoing transcript requests in a timely manner.
  • Manage student withdrawals, transfers, graduations, and records archiving.

Enrollment & Registration

  • Coordinate student registration and re-enrollment processes in partnership with Admissions and Finance.
  • Verify required forms, academic records, health documents, and tuition clearance as applicable.
  • Assist new families through onboarding processes with professionalism and warmth.
  • Monitor enrollment status and maintain updated student rosters.

Scheduling & Academic Support

  • Support course scheduling, class rosters, and academic record updates.
  • Assist counselors and administration with graduation audits and credit checks.
  • Help ensure student schedules align with graduation requirements and school programming.

Data Management & Reporting

  • Manage student information systems and registrar databases.
  • Generate reports related to enrollment, grades, attendance, transcripts, and academic progress.
  • Support state, denominational, conference, and accreditation reporting requirements.

Family & Student Service

  • Serve as a welcoming point of contact for students and families regarding records, transcripts, registration, and scheduling questions.
  • Communicate clearly and courteously with internal and external stakeholders.

Mission & Community

  • Support the Christian mission and values of Takoma Academy.
  • Model professionalism, discretion, kindness, and service to all stakeholders
  • Participate in school events, meetings, and initiatives as requested.
Required Experience
  • Associate’s degree or equivalent experience (Bachelor’s preferred).
  • Experience in school registrar, admissions, office administration, or records management (preferred)
  • Strong organizational skills with high attention to detail.
  • Ability to manage confidential information with integrity.
  • Strong written and verbal communication skills.
  • Proficiency with database systems, i.e. Microsoft Office, Google Workspace, etc.
  • Ability to multitask and meet deadlines in a fast-paced environment.
